Executive Assistant

Reports to: Founding and Acting Executive Director

Location: Oakland, CA (in person/remote)

Organization: Black Arts Movement Business District Community Development Corporation of Oakland (BAMBD, CDC)

Position: Executive Assistant

Overview: BAMBD, CDC is seeking a highly organized and proactive Executive Assistant to support Founding and Acting Executive Director. The ideal candidate will manage a variety of administrative tasks, coordinate complex schedules, and serve as a key point of contact for internal and external stakeholders.

Key Responsibilities

  • Administrative Support: provide comprehensive administrative support to Dr. Ayodele Nzinga, including managing emails, phone calls, and correspondence
  • Calendar Management: coordinate and maintain Dr. Nzinga’s busy schedule, including meetings, events, and travel arrangements
  • Communication Liaison: act as a key point of contact, handling inquiries, scheduling appointments, and coordinating communication with community members, partners, and stakeholders
  • Meeting Coordination: prepare agendas, take minutes, and ensure follow-up on action items for meetings and events
  • Document Management: assist in the preparation, editing, and management of documents, presentations, and reports
  • Project Support: assist in the coordination and execution of special projects and initiatives led by Dr. Nzinga
  • Event Planning: help organize and coordinate events and engagements, including community outreach and BAMBD, CDC activities in conjunction with the Programming Coordinator and Logistics
  • Confidentiality: maintain confidentiality and discretion in handling sensitive information and matters

Qualifications

  • BA in a relevant field or two years minimum experience
  • Proven experience as an executive assistant or in a similar role, preferably in a non-profit or community-oriented organization
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to multitask and prioritize tasks effectively
  • Proficiency in Google Suite and scheduling tools
  • High level of professionalism and discretion
  • Commitment to BAMBD, CDC’s mission and values, and a passion for supporting the arts and culture community

Salary Range (depending on experience): $55,000–65,000

Hours: 28–32 per week
